Privacy, terms and security. Written to be read.


Privacy policy

This policy explains what Southbeam collects, why, and what you can do about it. It applies to the product, this website and any support conversation.

What we collect

Account data. Name, work email, company and role. Used to authenticate, to bill, and to contact you about the service.

Product data. Everything you load into the product — catalogues, photometric files, drawings, price lists — and everything generated from it. This is yours. We process it to run the service and for no other purpose. It is not used to train anything, it is not shared with other customers, and it is not aggregated into anything that leaves your account.

Usage data. Pages visited, features used, files generated, errors encountered. Held for 13 months.

What we do not collect. No advertising identifiers, no cross-site tracking, no third-party analytics that resell behaviour.

Who we share with

Sub-processors only, and only those needed to run the service: cloud hosting, transactional email, payment processing and error reporting. We do not sell data. We respond to a lawful order only where legally compelled, and we will tell you unless prohibited from doing so.

Your rights

Access, correction, export and deletion, exercised from account settings or by writing to us. Deletion removes product data within 30 days and backups within 90.

Terms of service

By using Southbeam you agree to these terms. If you are agreeing on behalf of a company, you confirm you are able to bind it.

Generated files

Files generated from measured photometric data carry the laboratory reference you supplied and are only as accurate as that data. Files generated from modelled data are marked preliminary and must not be presented as measurements. Responsibility for the accuracy of the product data you load, and for how generated files are used in a tender, remains yours.

Billing

Plans are billed per brand, monthly or annually in advance, in USD. File packs are a one-time purchase and do not expire. Monthly plans can be cancelled at any time and run to the end of the paid period. Upgrades are prorated to the day; downgrades take effect at renewal.

Refunds and cancellation

Monthly plans: cancel any time, no refund for the current period, no further charge. Annual plans: cancel within 14 days of purchase for a full refund, otherwise the plan runs to term. File packs: refundable within 14 days if no credits have been used.

Liability

Our aggregate liability is limited to the fees paid in the twelve months preceding the claim. We do not exclude liability for death, personal injury or fraud.

Termination

Either side may terminate on notice. On termination you keep export access for 60 days.

Security

Data is encrypted in transit with TLS 1.2 or better, and at rest with AES-256. Access to production is restricted, individually attributed and logged. Two-factor authentication is available on all plans and enforceable on Enterprise. Portal downloads are recorded per account. Backups run daily, are retained 35 days, and restores are tested quarterly.

To report a vulnerability, write to the security address on the contact page. We will acknowledge within one working day and will not pursue anyone acting in good faith.

These terms are a working draft and will be finalised, with legal review, before the service accepts paying customers.
